Refund Impact Calculator
Refunds usually cost more than the refund amount itself. Most payment processors keep the processing fee when you issue a refund: Stripe, PayPal, Gumroad, and Lemon Squeezy do not return the platform or processing fee on a refunded sale. Etsy is a notable exception. Refunds issued through Etsy Shop Manager within 180 days automatically credit the transaction and payment processing fees back to your Payment account; refunds outside Etsy or after 180 days do not. This calculator estimates the total refund cost for the default fee-is-kept case. For Etsy Shop Manager refunds, set the platform fee inputs to zero on the refunded sales to model the credited fees.
Formula
- Gross sales = Sale price * Total sales completed
- Refund amount returned = Sale price * Refunded sales
- Non-returned platform fees = (Sale price * Platform fee percent + Fixed fee) * Refunded sales
- Unrecoverable variable costs = Variable cost per sale * Refunded sales
- Total refund cost = Refund amount returned + Non-returned platform fees + Unrecoverable variable costs
- Effective refund cost per refunded sale = Total refund cost / Refunded sales
- Refund cost as percent of refund amount = (Non-returned fees + Unrecoverable variable costs) / Refund amount returned * 100
Examples
- A $29 product with 5 refunds at 10% + $0.50 fees: refund amount $145 plus $17 in non-returned fees, total refund cost $162. The 'extra' cost beyond the refund itself is the $17 in fees the platform kept.
- Same scenario with a $5 variable cost per sale: $145 refund + $17 fees + $25 unrecoverable variable cost = $187 total. Variable costs amplify refund pain.
- A 5% refund rate on $2,900 monthly gross at 10% + $0.50 quietly removes about $17 in fees alone, on top of the $145 refunded.

Common mistakes
- Treating a refund as a wash because 'the money goes back to the customer'. Fees are not returned and variable costs are not recovered.
- Modeling refunds against gross revenue instead of net profit; the percentage impact on net profit is often much larger.
- Forgetting that fixed per-transaction fees (like $0.50) are absorbed in full on every refunded sale, regardless of amount.

Why does a refund cost more than the refund amount?
When you refund a customer, you return the sale amount, but most payment platforms also keep the processing fee they originally charged. Stripe, PayPal, Gumroad, and Lemon Squeezy do not return the platform or processing fee on a refunded sale. Etsy is a notable exception: refunds issued through Shop Manager within 180 days automatically credit the transaction and processing fees back to your Payment account (see the next FAQ for the full picture). You also cannot recover any variable cost you already incurred (cost of goods, per-unit production, contractor pay tied to delivery). The total refund cost is the refund amount, plus the absorbed fee where the platform keeps it, plus the unrecoverable variable cost.
How do major platforms handle the processing fee on refunds?
Most major payment processors keep the original processing fee on refunds: Stripe, PayPal, Gumroad, Lemon Squeezy, Shopify, and Square all do not return the fee. Etsy is the important exception. When you issue a refund through Etsy Shop Manager within 180 days of the original payment, Etsy automatically credits the transaction fee and the payment processing fee back to your Payment account; listing fees are also credited if you also cancel the transaction. Refunds outside Etsy (for example, paying the buyer back through PayPal directly) or after 180 days do not get the Etsy fee credit. Some subscription tools may have separate short-window exceptions. Always check the specific platform's refund policy before relying on a general rule; Etsy is the most notable exception we have seen.
How is the total refund cost calculated?
Total refund cost = Refund amount returned + Non-returned fees + Unrecoverable variable costs. Refund amount is sale price times refund count. Non-returned fees is the platform fee percentage applied to refund amount plus the per-transaction fixed fee applied to refund count. Unrecoverable variable costs is the cost-of-goods per sale times refund count. For a $29 sale refunded once at 10% + $0.50 fees and zero variable cost: $29 + ($29 * 0.10 + $0.50) = $32.40 total cost.
Why is the fixed per-transaction fee a separate input?
Fixed fees (such as $0.50 on Gumroad direct or $0.30 on Stripe) are absorbed in full on every refunded sale regardless of sale amount. On a low-priced product, the fixed fee can be a much larger share of the refund cost than the percentage component. Modeling fixed fees separately captures this asymmetry: a $5 refund and a $50 refund both absorb the same $0.50 fixed fee.
Should I include variable cost per sale?
Yes if your product has a real per-unit variable cost. For digital products with zero marginal cost (templates, ebooks, presets), leave variable cost at zero. For physical products, drop-shipped goods, products with contractor pay tied to fulfillment, or products with per-unit licensing fees, enter the per-sale cost you cannot recover when a refund is issued.
How is this different from a profit margin reduction?
Profit margin shows what you keep on a successful sale. Refund impact shows what you lose on an unsuccessful sale. A 5% refund rate does not just reduce gross revenue by 5%; it removes 5% of revenue AND keeps the platform fees AND absorbs the variable costs. The effective hit to net profit is usually larger than the refund percentage suggests. Use Profit Margin to size your headline margin, then use Refund Impact to see how refunds erode it.
What refund rate should I plan for?
Refund rates vary widely by product type and audience. Digital products often see 1 to 5 percent. Physical products with shipping often see higher rates due to damage, lost packages, or returns. Subscription products see cancellations rather than refunds, which is a different math. Run this calculator at your expected rate, then again at twice that rate to stress-test whether the product is still profitable in a bad month.
